Team Roles
Five permission levels that control what each team member can see, create, and manage. Roles sync automatically via iCloud – no manual setup needed.
Level 1
š Viewer
Read-only access to certificates. Ideal for office staff who need to view completed work.
Level 2
š Apprentice
Can create draft certificates that must be reviewed before completion. Perfect for trainees.
Level 3 – Default
š§ Engineer
Full certificate creation, editing, and PDF generation. The default role for qualified electricians.
Level 4
š” Qualifying Supervisor
Can review and digitally sign certificates submitted by Engineers and Apprentices.
Level 5
ā Admin
Full access to everything. Manage team members, assign roles, reassign certificates, and see all firm work.
Getting Started – Automatic Setup
When you update to the latest version, and purchase or upgrade to Teams PlanĀ team roles are set up automatically. There is nothing you need to do.
No data loss: All your existing certificates, boards, and observations are preserved exactly as they are. The update simply adds role information on top of your existing data.

Frequently Asked Questions
Do I lose any data when updating?
No. All certificates, test results, and observations are completely untouched. The update adds new fields alongside your existing data.
What if I am not in a firm (solo user)?
Nothing changes. The app works exactly as before. Team roles only apply with Firm Sharing and an Enterprise subscription.
Can someone approve their own certificate?
No. iCertifi enforces self-approval prevention. The person who submits cannot be the same person who approves, even across devices on the same iCloud account.
How quickly do role changes sync?
Within seconds via iCloud. The team member sees updated permissions almost immediately.
Can I have multiple Admins?
Yes. Assign the Admin role to as many team members as needed. The app prevents you from downgrading yourself if you are the only remaining Admin.
What happens if two people edit the same certificate?
iCertifi uses intelligent conflict resolution – the most recent change wins. The activity indicators help you avoid this by showing who is currently editing.
