Fire Safe 3.0 · iPhone, iPad & Android

The fire extinguisher servicing app that keeps the whole site

Fire Safe holds the register for every unit on a site and works out when each one is next due from BS 5306-3. Tag them, scan their labels, check the provision against BS 5306-8, and print the six documents a visit produces. On the phone, in your hand, with no signal.

Every unit. Every due date.tag.document.due date.

Works fully offline. Free 1-week trial on the yearly plan. On iPhone and iPad it syncs through your own iCloud account; on Android it stays on the phone and is included in your Android backup.

1 · The asset register

The site knows what is due. You just turn up.

Every extinguisher, blanket and hose reel on a site sits in one list with the date its next service falls due. Fire Safe works the dates out itself from BS 5306-3 and the type of unit, so the list sorts by what is due first.

  • Monthly visual, annual service, five‑year extended service and ten‑year overhaul
  • Worked out per unit, not per site, so a 2019 CO2 and a 2025 water do not share a date
  • Notifications 30 days before a site is due, and again on the day
  • Open a site before the visit and the work is already in front of you

2 · QR and NFC tags

Hold any phone to the unit. Its status page opens.

Give every extinguisher a QR label or an NFC sticker. On the next visit you scan it and its record is on screen before you have taken your gloves off. Everyone else, the client, the fire officer, the auditor, holds their own phone to it and gets the unit’s status page: what it is, when it was serviced, when it is next due, and your business details. Nothing to install and no account.

  • NFC stickers, printed QR labels or pre-coded stickers, written and published from the app
  • On Android the app writes and scans the same NFC and QR tags; the public status page is published from the iPhone or iPad app
  • Avery L7159 sheets, 24 labels to a page, from any office printer
  • Only your account can change a page, and it updates itself every time you sign off a visit
  • What the page shows, and what it never shows

3 · Label scanning

Point the camera at the label. Stop typing model numbers.

Fire Safe reads the make, model and rating straight off a manufacturer’s label and fills the unit in for you. It happens on the phone, so it works in a plant room with no signal, and the photograph never leaves the device.

4 · Provision · BS 5306-8

Tell it the floor area. It tells them what they are short of.

Enter a room’s floor area and Fire Safe works out the class A cover BS 5306-8 requires, compares it with what is actually fitted, and states the gap in plain words. Hazards and special risks are recorded alongside it.

The shortfall is a quote you can leave on the day.

Choosing a document in Fire Safe

Pick the document, fill it in, send it.

Tap the clipboard, choose what the visit needs, and the form opens already knowing your company details. A checklist down the side shows which sections are done. Quick Preview shows the finished PDF at any point, so nothing is a surprise at the end.

  • Your name, company and BAFE registration entered once, printed on everything
  • Sign on screen, and take the responsible person’s signature too
  • Save, send, mark as sent, or leave it in progress and come back
  • Your own logo and certificate colour

Not just extinguishers

Blankets and hose reels, in the same register

Fire blankets to BS EN 1869 and hose reels to BS EN 671-3 sit alongside the extinguishers, with their own check lists and their own due dates. One site, one list, one visit.

On the iPad

The same job, with the checklist beside you

On iPad the sections run down a sidebar, so you can see at a glance what is finished and jump straight to what is not. The same register, the same documents, the same iCloud account.

  • Section checklist always visible
  • Quick Preview and the certificate menu one tap away
  • Everything you enter on the phone is already there

Invoicing without retyping

Finish the visit. The invoice is already written.

Link Fire Safe to Mint Books, the UK bookkeeping and invoicing app for trades, and a completed visit turns into a draft invoice with the customer and the job already on it, priced per unit serviced. Add your price and send it.

  • Pairs in seconds with a six-character code from your Mint Books account
  • Customer, site and certificate reference carried straight over
  • Priced per unit serviced, so a 14-unit visit is not one line
  • VAT, CIS and Making Tax Digital handled on the Mint Books side
  • Nothing is sent until you press send

Sync

Your own iCloud

On iPhone and iPad the register syncs through your own iCloud account. On Android it stays on the phone and is included in your Android backup. No portal, no monthly seat fee, nobody else holding your customer list.

Backup

A file you can hold

On iPhone and iPad backups write to your iCloud Drive as a file; on Android you save the file to Google Drive or anywhere you choose. Restoring merges what is in the backup with what is on the device instead of overwriting it.

Offline

No signal, no problem

Everything — the register, the forms, the reference library, the PDF — works with the phone in flight mode. Basements and plant rooms included.

How a visit goes

  1. Open the site. The units are listed with what is due first at the top.
  2. Scan a tag, or add a unit and let the camera read its label.
  3. Work down the checks. Swipe a unit right to pass it with every check ticked.
  4. Anything that fails goes on a Corrective Action Notice as you go.
  5. Sign on screen, take the responsible person’s signature, and preview the PDF.
  6. Email it from the site. Next due dates are already set for next year.

Questions

Can my client check a unit without the app?

Yes. From 3.1 every tag opens a public status page: hold any phone to the NFC sticker or scan the QR label and it shows the unit, its service dates, what is next due and your business details. Nothing about the site or the client is published. Pages are published from the iPhone and iPad app; the Android app writes and scans the tags. See what the page shows.

Does it work without a signal?

Yes. The register, the forms, the reference library and the finished PDF all work with the phone in flight mode. Sync and email catch up when you get a signal back.

How does it decide when a unit is next due?

From BS 5306-3 and the type of unit: the monthly visual, the annual service, the five-year extended service for water and foam, and the ten-year overhaul for CO2. Each unit carries its own dates from its own commissioning date.

What tags does it use?

NFC stickers and printed QR codes. Fire Safe writes the NFC tags itself and lays QR tags out on an Avery L7159 sheet, 24 to a page, so any office printer will do.

Does the label scanning send my photos anywhere?

No. The label is read on the phone using the camera. The image is not uploaded.

Can I put my own logo on the certificates?

Yes. Your logo, your company details, your name and your BAFE registration number print on every document, and you can set the certificate colour.

Does it cover fire blankets and hose reels?

Yes. Blankets to BS EN 1869 and hose reels to BS EN 671-3 sit in the same register with their own checks and their own due dates.

What happens to my old reports?

They are imported automatically the first time you open 3.0, and stay readable and sendable.

Is Fire Safe available on Android?

Yes. Fire Safe is on Google Play for phones running Android 10 or later, with the register, the due dates, NFC and QR tags, label scanning, the provision calculator, the six documents, the standards library and the Mint Books link. It is a separate app with its own Google Play subscription: your work stays on the phone, is included in your Android backup, and does not sync with the iPhone or iPad app. Tag status pages are published from the iPhone and iPad app.

Which devices does it run on?

iPhone and iPad running iOS 18 or later, syncing through your own iCloud account, and Android 10 or later from Google Play. On Android the register stays on the phone and is included in your Android backup; it does not sync with the iPhone or iPad app.

What does it cost?

Fire Safe is free to download, with a free 1-week trial on the yearly plan on iPhone, iPad and Android. After that it is a single-user subscription, monthly or yearly — the current prices are on the pricing page. You can also look round before you pay: the Responsible Person’s Monthly Visual Inspection Record opens and previews without a subscription. Saving or sending a document, and the site register, the tags and the other five documents, all need a subscription. Cancel it in your Apple Account settings, or in Google Play on Android, whenever you like.
