Misc
This section covers every iCertifi app on iPhone, iPad, Mac and Android, including iCertifi, iCertifi Cloud Pro, PAT, Fire, Gas Cert, Verifi and AirCert. Mint Books has its own privacy policy at my.mintbooks.app/privacy. Updated 14/10/2026.
Your certificates stay with you
Certificates, customer details, test results, signatures, photos, and your business details and logo are stored on your own device. If you turn on iCloud, Apple keeps a copy in your own iCloud account so your devices stay in step. iCertifi cannot see your certificates.
Features that only work when you use them
Some features send information off your device, and only when you choose to use them:
AI scanning and the AI assistant: the photo or question you send goes through our server to an AI provider (OpenAI or Google) to get the answer. Questions to the AI assistant may be kept so we can improve its answers.
Teams (Cloud Pro): certificates you share with your team are shared through Apple iCloud with the people you invite.
Progress sharing and Wallet cards (Cloud Pro): the job details you choose to share are sent to our service to make the customer’s page and card.
Mint Books: if you link Mint Books, the details you send go to your Mint Books account.
Newsletter: if you sign up, we keep your name and email address to send it. You can unsubscribe at any time.
Customer reminder emails
Some of our apps can email your customer before a certificate, service or retest is due. This only happens when you switch a reminder on for that job, one job at a time. Nothing is sent to anyone else.
What we keep: your customer’s name and email address, the address of the job, the date it is due (for PAT testing, also how many appliances were tested), and your business name, phone number and reply email. We keep these on our reminder service so the email can go on the right day, even when your device is off.
How it is sent: from noreply@icertifi.co.uk in your business name, through Amazon Web Services (Amazon SES, EU region). When your customer replies, the reply goes straight to your email.
No account needed: the app proves it is a genuine copy using Apple App Attest or Google Play Integrity. There is no sign-in.
Your customer is in control: every reminder has a link to stop reminder emails. Once they use it, none of our apps will email that address again.
You are in control: you can switch a reminder off at any time. Deleting the job switches its reminder off first. Nothing is sent after your subscription ends.
Who decides: you choose who is reminded, and we send the email on your behalf. To have your reminder details removed from our service, contact support.
Visit confirmation emails
The Diary in Gas Cert and iCertifi Cloud Pro can email your customer to confirm a visit you have booked. This only happens when you tap Send confirmation on that visit, and you see the exact email before it goes. If you move or cancel a confirmed visit, the app offers to email them the change.
What we keep: your customer’s name and email address, the address of the visit, the day, time and length of the visit, the job, and your business name, phone number and reply email. When your customer answers, we also keep their answer (accept, decline or ask for another time) and any note they add, so the app can show it to you.
How it is sent: from noreply@icertifi.co.uk in your business name, through Amazon Web Services (Amazon SES, EU region), the same way as customer reminder emails. If you have added a reply email, your customer’s reply goes straight to it.
How your customer answers: the buttons in the email open a page on invoice.icertifi.co.uk. They do not need an app or an account.
Your customer is in control: every email has a link to stop emails sent through iCertifi. Once they use it, none of our apps will email that address again.
Who decides: you choose who is emailed, and we send the email on your behalf. To have these details removed from our service, contact support.
Google Drive sync (Android apps: Gas Cert, PAT Test Pro and iCertifi)
These Android apps can keep your work the same on every Android phone and tablet you sign in on, using your own Google account. Gas Cert keeps your certificates, clients, diary and business details the same. PAT Test Pro keeps your reports, appliances and their photos, clients and business details the same. iCertifi keeps your certificates (with their boards, circuits, observations, photos, signatures and issued copies), your Client Hub clients and your contractor details the same. This only happens when you switch on Sync with Google and choose your account: in Gas Cert and PAT Test Pro under Settings, Back up, restore and sync; in iCertifi under Backup on the Home screen.
Where it is kept: in a private area of your own Google Drive that only iCertifi’s apps can see. It does not appear among your Drive files, and we cannot see it.
Before sync starts, the app makes a full backup on your phone, and keeps the last three. Deleting a certificate or report on one device deletes it on your other devices.
You can switch sync off at any time. Nothing is removed from your phone or from your Google account when you do. To remove the copy in your Google account, use Manage apps in your Google Drive settings.
Location, contacts, camera and photos
The apps only use your location, contacts, camera or photos when you tap the button that needs them, for example to fill in an address or add a photo to a certificate. Your location is never tracked and never used in the background.
Sending certificates
When you send a certificate, the app makes a PDF and hands it to the app you choose, such as email or WhatsApp. That app sends it under its own privacy policy.
Backups
Backups are saved where you choose, such as iCloud Drive, Google Drive or your device’s storage. iCertifi has no access to them.
Subscriptions
Subscriptions are sold and managed by Apple on iPhone, iPad and Mac, and by Google Play on Android. They handle your payment details; the apps only learn whether your subscription is active. You can cancel at any time in your App Store or Play Store account.
What our apps do not do
No adverts and no advertising ID.
No selling or sharing of your information with advertisers.
No tracking across other apps or websites.
Deleting your information
Delete a certificate in the app, or delete the app to remove everything it holds on your device. Data in your iCloud account can be removed in your device’s iCloud settings.
